This notice explains how VCG handles website enquiries and related customer information. Download this notice.
Who is responsible for your information
VCG Property Services Ltd is responsible for the personal information described in this notice. Contact admin@vcgpropertyservices.co.uk or 07726 183053 with privacy questions or requests. Our company number is 17382547; registered office details are on our Company information page.
Information we collect
When you enquire, we collect your name, email address, postcode, message and any optional phone number you provide. If you email photographs or further job details, we receive those too. If you become a customer, relevant records may include your property address, quotation, agreed work, correspondence, invoices and payment records. Please avoid sending unrelated sensitive information, passwords or payment-card details. Website and security providers may process IP addresses, browser/device information, request times and security signals.
Why we use it
We use quotation and booking information to take steps you request before entering a contract and to perform an agreed contract. We use general correspondence, essential job records and security information for our legitimate interests in responding to enquiries, administering the business, protecting the website and handling disputes. We use records where necessary to meet legal obligations, such as accounting requirements. Where we seek permission to use identifiable customer photographs in marketing, we rely on consent and you may withdraw it by contacting us. Sending an enquiry does not subscribe you to a marketing list.
Information needed to respond
Providing information is voluntary. The enquiry form requires your name, email, postcode and a description of the job so we can respond and assess the request. Your telephone number is optional. If you do not provide sufficient details, we may be unable to respond or prepare a quotation. You can contact us directly by phone or email instead.
Website enquiries and service providers
When enabled, the online form uses Cloudflare to process the request, Cloudflare Turnstile to help distinguish visitors from automated spam, and Resend to send the enquiry to our business email account. Our email provider also processes and stores messages. The website does not maintain a separate enquiry database. Delivery services and hosting providers may retain technical records under their own service arrangements. The local preview does not send enquiries while these services are unconfigured. Fonts and website images are served with the website.
Maps, cookies and external links
The coverage map is embedded from OpenStreetMap. Loading it sends your IP address and browser request information to that provider, even if you do not interact with the map. The website has no analytics or advertising trackers configured. Security providers may process technical signals needed to protect the form. External links take you to other providers, whose privacy and cookie practices apply on their own sites. We will update this notice and any necessary consent controls before introducing optional tracking.
Other recipients
We share relevant information with service providers only where needed for the purpose described. Where required for a job or a dispute, relevant details may also be shared with contractors carrying out agreed work, professional advisers, insurers or authorities. We do not sell enquiry details. We aim to limit what is shared to what the recipient needs.
Processing outside the UK
Cloudflare, Resend and other communications providers may process information outside the UK. Before activating the online form, we will confirm the providers’ processing locations and applicable UK transfer arrangements, and update this section with the arrangements used. You can contact us to request information about transfers and the safeguards applying to your information. This preview policy is not confirmation that the production provider arrangements have been verified.
How long we keep information
We keep information only while it is needed for its purpose. For enquiries that do not become work, we consider whether the enquiry is still active, whether follow-up has been requested and whether there is a complaint or dispute. For customer records, we also consider ongoing work, accounting obligations, warranties and the need to establish or defend legal claims. When no longer needed, information should be securely deleted or anonymised. Provider technical records are subject to their service retention arrangements. Ask us if you need details about a particular record.
Keeping information secure
We limit access to information to those who need it and use appropriate account and technical protections. The form is designed to validate submissions and check for automated spam. No transmission or storage system is completely secure. Please contact us promptly if you believe information sent to VCG has been misused.
Your rights
Depending on the circumstances, you may request access to your personal information, correction, deletion, restriction of use or a portable copy. Where processing relies on consent, you can withdraw that consent without affecting the lawfulness of earlier use. Some rights are subject to exceptions, for example where records must be kept by law. We may need reasonable information to verify your identity before responding.
Your right to object
You may object to processing based on legitimate interests because of your particular circumstances. You can also object to direct marketing at any time. Contact admin@vcgpropertyservices.co.uk to exercise these rights.
Automated decisions
Spam checks may prevent a form submission from being accepted. You can contact VCG by email or telephone if that happens. The website does not make solely automated decisions about customers that have legal or similarly significant effects, and does not carry out advertising profiling.
Questions or complaints
Please contact us first if you have a concern so we can investigate. You may also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to complete our complaints process before contacting the ICO.
Changes to this notice
We will update this notice when our website, providers or information-handling practices change. The version and date above identify this edition.
